Connecting Teams in the FSJ Boardroom 1810

  1. First you will need the Video ID for the exact scheduled Teams meeting you wish to join the room to. Note, this is not the same as the Meeting ID. Select the meeting from the calendar and expand the meeting details using the button in the top right of the small window.

Look for the Video ID near the bottom like this screenshot:

  1. Now you will need to make sure the video conferencing system is turned on and ready to join.
    1. First check the TVs are both powered on. If they are not, you can use one of the TV remotes in the room to turn them on, or press the power button underneath the TV in the middle.
    2. Look for the silver remote to control the Polycom video conferencing system. Pressing any button should wake it from sleep. In case it is not powered on, you can press the power button on the silver box that is in the middle of the shelf under the TVs.

  1. You should see two options on the left TV: Place a Call, and Content. This means you are ready to begin joining the meeting.

  1. Select the Place a Call option and find the Teams Bridge contact in the list. You can use the search, or manually scroll through the list. Select Call on the Teams Bridge contact to join the Teams Bridge.

You will be prompted to enter the video conferencing ID which we found in step one. Use the silver Polycom remote to enter the numbers and then press the # key to submit.

The room will now join the Teams meeting. You may see a message that appears to indicate the room must be admitted into the meeting. This happens when nobody else has joined by Teams yet. Once somebody else joins the Teams meeting it will go away.

 

Presenting Content to the Meeting

The best way to present content with this setup is to have the presenter join the same Teams meeting with a laptop with their volume off and their microphone muted, then share their screen to the Teams meeting. This ensures that everyone in person, and remotely joined by Teams will be able to see the presented content.
